The Fédération Suisse des Confréries Bachiques et Gastronomiques (FSCBG, hereinafter “we”) explains in this policy how it processes personal data in connection with its website, its communications with brotherhoods and its association activities. The protection of this data is governed in particular by the Federal Act of 25 September 2020 on Data Protection (FADP) and its implementing provisions.

This policy covers processing carried out under the responsibility of the FSCBG. Brotherhoods and other organisers remain responsible for processing whose purposes and means they determine themselves, particularly in relation to their own memberships and events.
2. Data processed and its sources
Personal data means information relating to an identified or identifiable individual. We process the contact details and information you provide when communicating with us: your name, email address, message content and, where necessary, telephone number, postal address, role and the brotherhood you represent.
For association matters, representatives’ contact details may also be provided to us by their brotherhood. We use these details for communications relating to their role and make this policy available to them. Such disclosure must be based on appropriate authorisation or the applicable provisions of the articles of association.
Visiting the website also involves the processing of technical data described in Section 4. Data relating to photographs is described in Section 6.
3. Purposes of processing
We use the data necessary to respond to enquiries submitted by email or through the contact form, process membership applications from brotherhoods, keep their representatives’ contact details up to date and manage communications concerning the Federation’s activities. This includes meeting notices, administrative correspondence and the coordination of activities.
Event registrations: we process contact details, the brotherhood represented, registration information and, where payment is required, the billing information necessary to manage your participation. Essential information is shared with the organiser or service providers identified at the time of registration.
4. Website operation and technical logs
The website is hosted by Infomaniak in Switzerland. When you visit it, technical data is recorded in access and error logs, including the IP address, the date and time of requests and the resources requested.
This data is used to ensure the proper operation and security of the website, detect abusive access and diagnose technical incidents. Access to this data is restricted to persons authorised to perform these tasks.
According to Infomaniak’s documentation, access and error logs are retained for at least seven days. They are then deleted upon expiry of the retention period applied by the hosting provider.
5. Cookies and integrated services
The website does not use any advertising or behavioural tracking tools, or cookies intended for these purposes. We do not create advertising profiles based on your browsing activity.
Technical data necessary for the operation and security of the website is processed as described in the section entitled “Website operation and technical logs”.
You can view, block or delete cookies through your browser settings. Blocking cookies necessary for the operation of the website may affect certain features.
6. Published photographs and contact details
The website displays photographs of the Federation’s activities, together with the names and roles of officials or representatives of brotherhoods, to provide information about association activities and facilitate contact. Published information is accessible to anyone visiting the website.
We inform the individuals concerned about planned publications and obtain their consent where necessary. Participation in an event does not, in itself, constitute general permission to publish an image showing an identifiable person. You may request the correction of your contact details or report a photograph concerning you by emailing info@confreries.ch. Where publication is based on your consent, you may withdraw it; in the absence of another justification, we will remove the content concerned.
7. Principles governing processing
We limit processing to the data necessary for the stated purposes and comply with the principles of lawfulness, good faith, proportionality and transparency set out in the FADP. Where justification is required, it may arise in particular from your consent, an overriding private or public interest, or the law. Visiting the website does not constitute general consent to all processing activities.
8. Recipients and processing abroad
Persons responsible for the FSCBG’s activities only access the personal data necessary for their tasks.
The website is hosted by Infomaniak in Switzerland. Technical service providers engaged by the Federation access data to the extent necessary to deliver their services and are required to comply with the applicable confidentiality and data protection obligations.
When organising events or coordinating association activities, the FSCBG may disclose necessary information to the brotherhoods concerned, including participants’ names, contact details and registration information. The individuals concerned are informed of the purpose and recipients of this disclosure. Their consent is obtained where required.
Recipient brotherhoods must use this data solely for the stated purpose and ensure its confidentiality. Membership of the FSCBG does not automatically grant access to all data held by the Federation.
The data is hosted and processed in Switzerland. The FSCBG does not transfer it abroad.
Data may also be disclosed to the competent authorities where required by a legal obligation.
9. Retention periods
Data is deleted or anonymised when it is no longer necessary for the stated purpose, subject to legal obligations and justified needs to retain evidence or defend rights. The following criteria apply:
- Contact enquiries: for the duration of the handling of the enquiry and any follow-up, then for a maximum of 12 months after the enquiry is closed.
- Coordonnées des représentants : pendant l’exercice de leur fonction. Les coordonnées devenues inutiles sont supprimées des fichiers de contacts actifs dans les 3 mois suivant l’annonce de leur remplacement. Les informations nécessaires pour documenter les décisions et activités de la Fédération peuvent être conservées séparément dans les archives associatives.
- Inscriptions aux manifestations : jusqu’à la clôture administrative de la manifestation, puis pendant une durée maximale de 12 mois pour les besoins du suivi. Les pièces comptables soumises à une obligation légale sont conservées pendant 10 ans à compter de la fin de l’exercice concerné.
- Newsletter: until you unsubscribe. After that, only the minimum information necessary to honour the unsubscribe request or demonstrate the lawfulness of previous mailings is retained, for as long as that need continues.
- Published photographs: for a maximum of 5 years. Certain photographs and documents of historical interest to the Federation may be retained for longer in its archives. Their retention and continued publication are reviewed annually, with due regard for the rights of the individuals concerned.
Data necessary to comply with a legal obligation or handle a dispute may be retained beyond these periods, with restricted access and for as long as justified by that need.
Technical logs and any cookies are subject to the periods specified in the corresponding sections.
10. Security
We take technical and organisational measures appropriate to the risks to protect data against unauthorised access, loss and alteration. Access to data is restricted to persons who need it for their tasks. However, no transmission method or storage system can provide absolute security.
11. Your rights
Under the conditions laid down by law, you may request access to your data, its rectification or erasure, or restriction of its processing, and you may object to its processing. You may withdraw consent with effect for the future. You may request that data be provided or transferred in a commonly used electronic format where the statutory conditions for data portability are met.
Please send your request to info@confreries.ch or to the General Secretariat. We may take proportionate steps to verify your identity. Access requests are generally handled free of charge within 30 days. Any restriction permitted by law will be explained to you.
12. Changes
We update this policy when our processing activities or the applicable requirements change. The updated version is published on this page. Updating this policy alone does not authorise any new processing that requires your consent.
